Project Waitlist

When our projects reach capacity, quite often we find there may be less than a handful of openings that are created before departure due to enrolled students who withdraw from the project for various reasons or from ieiMedia’s ability to expand capacity beyond the Project's originally projected enrollment.   Therefore, rather than closing enrollment and rejecting student applications, we provide students several options which include a waitlist..  

Option A:  Enter a project “waitlist”

Students who apply for a project that has reached capacity can elect to join a waitlist for that project.  Students choosing to join a waitlist for a Project, will be requested to make a second choice to attend another project in case capacity does not become available for them. 

Option B: Choose a different Project

If prior to or by the time a student’s application is finalized (by paid application fee, applicant references received and reviewed by ieiMedia) the project reaches capacity, the student may elect to join another project rather than being on a waitlist.  

Option C:  Withdraw application

ieiMedia offers several incredible projects to learn about global communications and we rarely see this choice being made, but should this be the path chosen, ieiMedia would not require any further payments and there would only be the non-refundable application fee that could be forfeited unless capacity was known to be full at the type of submitting your application.  ieiMedia will refund applicant fees that are paid solely to join a waitlist for a Project when it is at capacity at the time the application fee is being paid.

Waitlist vs. Choosing Different Projects

The advantage to either choosing a different Project vs. joining a waitlist is based upon the student’s preference.  For example, if the primary choice for an applicant is at capacity but the secondary choice is very near to reaching capacity, the applicant may choose to forego the waitlist to guarantee a spot in the secondary project of choice.

Payments and Refunds for waitlist applicants

It is important to note that students who are behind in their payment schedule for a Project that has reached capacity, can be moved to the waitlist.   The student will be notified via email regarding missing the payment and will have 5 business days as of the time of the notice to provide payment prior to being moved to the waitlist.  When students enter the waitlist for any reason, it is always behind other students currently in the waitlist.  

FAQs

Q: In what order are spots awarded to applicants?

A: When you submit an application by taking the step to pay the $50 application fee, you are placed in an Applicant Queue.   All applicants enter the Applicant Queue in chronological order based on the date/time that the Application Fee was paid.  

Q: How will I know if there will be space for me in the Project?

A: If at the time your Application Fee is paid there is no available room in the Project, you will be notified by admissions that your position in the Applicant Queue will remain unchanged but you will be considered in a “Wait” state (AKA on a “Waitlist”).

Q: What if I have not submitted my references yet?

A: The date that the references are submitted and the date of review of the references are not used to determine your position in the Applicant Queue.  This is because you should not be penalized by the delays of references being submitted and the review of the reference.    

Q: What if I apply after the deadline or fail to make the required payments defined by the Costs and Payment Schedule.

A: Maintaining the payment schedule will preserve your place in the Applicant Queue.  If the payment schedule is not met, you will forfeit your spot in the Applicant Queue.  Any student can rejoin the Applicant Queue once they are up to date on scheduled payments. When a student rejoins the Applicant Queue, their position will no longer be determined by the date/time the Application Fee was paid.  Their position will be based on the date/time they became current with the payment schedule.  If at the time they rejoin the Applicant Queue there is not available space, they will be notified by admissions and placed on the waitlist.  Withdrawal from the Project after not keeping up with payments is subject to the Cancelation Policy.

Q: Should I wait if I’m on the waitlist? 

A: If you are on the waitlist, we encourage you to maintain your position by keeping to the payment schedule in case the capacity for the Project changes by ieiMedia expanding the capacity of the Project or other students leaving the Applicant Queue.  The next student in the waitlist will be notified when capacity becomes available and be invited to join the Project.  If your payments are not current, you will not be invited to join.  NOTE that if the project is at capacity and you are not invited to join, you have other options you can take including a refund of deposits made (see next FAQ for more info).   

Q: What are my options if there is no room for me and the Project closes?

A: If your Project closes with capacity limitations being reached while you are on the waitlist, you will be notified within 2 weeks after the Final Application Deadline.   You will be informed of three options: 

  • Option A:  Enter a project “waitlist”
    Students who apply for a project that has reached capacity can elect to join a waitlist for that project.  Students choosing to join a waitlist for a Project, will be requested to make a second choice to attend another project in case capacity does not become available for them. 
  • Option B: Choose a different Project
    If prior to or by the time a student’s application is finalized (by paid application fee, applicant references received and reviewed by ieiMedia) the project reaches capacity, the student may elect to join another project rather than being on a waitlist.  
  • Option C:  Withdraw application
    ieiMedia offers several incredible projects to learn about global communications and we rarely see this choice being made, but should this be the path chosen, ieiMedia would not require any further payments and there would only be the non-refundable application fee that could be forfeited unless capacity was known to be full at the type of submitting your application. 

There is no immediate deadline for any of these choices to be made but if capacity is reached while waiting to decide on a different Project, it would close the opportunity to join for that Project.  A full refund (excluding the $50 Application Fee) can still be provided until a final decision of attending an ieiMedia Project is made.  Final decision must be made by May 1, 2025.
